Most of the avoidable harm in proctoring comes from students not knowing what to expect. Almost all of it is addressed by communication that costs nothing. The notice should be at least as concrete as one for employee time clock software, stating what starts the record, what is visible and how a person corrects it.
When to tell them
At enrolment or module registration: that proctoring is used and what it involves.
At booking: the specifics for this assessment.
A week before: what to expect, what to prepare, what to do if something fails.
And the day before: a short reminder with the support contact.
Four touches. Automatable. This is the whole intervention.
What reduces flags
Telling students that looking away, moving and thinking aloud are normal and expected.
Telling them a brief interruption will not be treated as misconduct.
Telling them what to do if the connection drops — which prevents the panic reconnection pattern that generates more flags.
And a practice session with the real software, which removes most technical failures on the day and is the single most effective measure here.
The practice session
Same software, same check-in, same device the student will use.
Available weeks in advance, not the night before.
With a route to support if it fails, staffed.
Institutions that provide this report substantially fewer exam-day incidents, and it is cheap relative to handling those incidents live.
What reduces distress
Knowing that a flag is a moment for review rather than an accusation.
Knowing who is watching, or that nobody is watching live.
Knowing how long recordings are kept.
Knowing that an alternative exists and can be requested without a reason.
Each of these is a sentence, and their absence is what produces the anxiety students describe.
Who writes it
The institution, not the supplier.
Vendor material uses vendor framing and overstates detection, which will then be quoted back during an appeal.
Have a student representative read it before it goes out and check they come away with the right understanding of what a flag means.
The tone question
Material that emphasises detection and consequences produces fear and worse performance.
Material that explains the process and the safeguards produces compliance and fewer incidents.
The second is not softer; it is more accurate, and it is also what the deterrence evidence supports.
